BASePro AU is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and disclose your personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2.Information We Collect

We collect the following types of information:

  • Account information: Name, email address, business name, ABN, and login credentials
  • Client data: Information you enter about your clients including names, contact details, ABNs, and financial records
  • Usage data: How you use the Platform including log entries, timestamps, and activity records
  • Compliance data: CPE records, supervision logs, conflict of interest registers, breach registers, and TPB registration details
  • Uploaded documents: Files and attachments you upload to the Platform
  • Calendar and email data: If you choose to connect your Google or Microsoft account, we display a live snapshot of your calendar events and emails within the Platform (titles, times, senders, and subject lines). This data is not stored in our database — it is retrieved directly from Google/Microsoft each time you view it, and clicking through opens the original item in Google/Microsoft directly.

3.How We Use Your Information

We use your information to:

  • Provide and improve the BASePro AU platform
  • Send account and subscription notifications
  • Send invite emails to team members you add to your account
  • Comply with our legal obligations
  • Respond to support enquiries

4.Data Storage and Security

Your data is stored securely in Australia. We implement industry-standard security measures including encrypted passwords, secure API access, and role-based access controls. Documents and attachments are stored securely for the life of your subscription.

5.Data Retention

We retain your data for the duration of your subscription. In line with TPB requirements, practice records are retained for a minimum of 5 years. Upon cancellation of your subscription, your data will be retained for a reasonable period before being securely deleted.

Calendar and email data displayed via connected Google or Microsoft accounts is not retained by BASePro AU — it is fetched live on each view and never stored in our systems.

6.Sharing of Information

  • We do not sell your personal information to third parties.
  • We do not allow advertisers to access your data.
  • We may share data with trusted third-party service providers (such as cloud hosting and email services) solely for the purpose of operating the Platform. These providers are bound by confidentiality obligations.
  • Where you connect a third-party calendar or email account (Google or Microsoft), that data is used only to display a live snapshot within the Platform and is never stored, shared, or sold.

7.Google API Services User Data Policy

BASePro AU’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google Calendar and Gmail data is used only to display a live snapshot within BASePro AU and is never stored, used for any other purpose, or used for advertising.

8.Team Member Access

If you add team members to your BASePro AU account, those team members will have access to client and practice data as determined by the role you assign them. You are responsible for managing your team members’ access appropriately.

9.Your Rights

You have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your data (subject to retention obligations)
  • Withdraw consent where applicable

10.Cookies

BASePro AU uses session cookies for authentication purposes only. We do not use advertising or tracking cookies.
